QUALIFICATIONS:
  • Bachelor’s Degree (ideally in the human services field)
  • Experience working in a K-12 education system is preferred.
  • Able to navigate active communication and positive relationships with others including effective oral presentation of information, as well as being responsive to high levels of data and verbal information
  • Will represent the S.E. department as one of the outward information sources and will do so with high levels of professional and ethical integrity
  • Strong organizational skills.
  • Ability to develop and maintain spreadsheets, slide decks, and informative presentations and documents in a clear, concise, and accurate manner.
  • Ability to remain flexible in tasks based on priority, and be responsive to systemic needs and changes as they arise.
  • Ability to problem solve effectively and work both independently and collaboratively as the demand of the tasks requires.
  • Such alternatives to the above qualifications as the District may find appropriate and acceptable
REPORTS TO: Director of Special Education
SUPERVISES: Does not supervise any employee, will receive guidance and direction at times from the Special Education Department Specialist
JOB GOALS: In support of the special education department and ICCSD Preschool Programs the individual in this position will:
  • Will maintain and ensure preschool programming is implemented and supported to maximize students' accessibility and engagement.
  • Work collaboratively with and at the direction of the Specialist to ensure and maintain operational efficiency and to meet all critical timelines and deliverables.

PERFORMANCE RESPONSIBILITIES
:

ICCSD Preschool and Department Operations:
  • Develop and maintain an organizational and storage structure for all centrally housed preschool materials and curricula.
  • Support in the operational management of preschool-kindergarten ESY
  • Maintains department scope of work to ensure all deliverables are met on time.
  • Provide assistance in maintaining the preference assessment and curriculum library and ensuring timely delivery of requested items to buildings.

Ordering and Purchasing:
  • Coordinate with the identified provider to order and organize the delivery of preschool snacks to buildings.
  • Organize, distribute, and maintain preschool materials and curriculum.
  • Review and process purchasing requests for preschool using the supported and established process.
  • With oversight from the director; develop and maintain an inventory of all preschool purchases.
  • Receive and process community partner invoices, and reconcile them with the business and finance department.
  • Maintain and resolve preschool credit card in accordance with business office processes.
  • Complete monthly ECI billing for students accessing additional funding sources.

Communication and Public Relations:
  • Develop and distribute all critical communication and advertising materials for preschool programming.
  • Disseminate information to schools, parents, community regarding updates of preschool programs and special education as overseen by the director of special education.
  • Send out confirmation of preschool placement and correspondence to parents, via email, letters, and phone calls.
  • Respond to district-level preschool questions of a general nature not requiring the specific attention of a coordinator or director.

State and District Reporting:
  • Support in the collection, coordination, and reporting of all needed information for student COUNT

Coordination of Student Records, Information, and Billables:
  • Maintain and monitor the established district preschool registration process
  • Coordinate with department staff to assign students to preschool programs/buildings and sessions
  • Materials management of required documentation in coordination with building secretaries.
  • Process all necessary documentation and student/family information associated with the requirements of our shared visions grant.
  • Maintain master student information spreadsheet for preschool and ensure accuracy ongoing.
  • Maintain records of community partners' student attendance.
  • Maintain a spreadsheet of preschool para educators' student and classroom assignments.
  • Update registration information in infinite campus for following years' applications
  • Maintain student records including those of our community partners, in infinite campus.
  • Assist in the gathering and reporting of student data as requested by the specialist.

TERMS OF EMPLOYMENT
: Twelve-month year. Wage and calendar year to be established by the Board of Education. Requires the commitment of professional working hours that may require the employee to extend beyond a typical 7:30 am – 4:30 pm workday.

: The performance of this job will be evaluated in accordance with provisions of the District’s policy on Evaluation, State Statute, and any applicable Collective Bargaining Agreement
