Accounting Administrator - Construction Company Job at Nivalmi Consulting

As an Accounting Administrator, you will play an active role in managing accounts payable/receivable, organizing and cataloging documents and permits, and performing other office needs. In the Accounting Administrator role, you will be responsible for tasks within several areas, including:
Accounting
- Quickbooks data entry and reporting
- Compiling monthly billing for client
- Tracking outstanding invoices and following up with clients
Company Organization with “Procore” system
- Update project statuses through their lifespan
- Maintain company directory and assign invoice contacts
- Update databases of subcontractor info, insurances, and licenses
Human Resources
- Track and file employee forms, including safety incidents, reprimands etc.
- Provide support for employee time tracking and reporting
- Benefits set-up for employees
- Be available to listen to questions
General
- Track and update notices to owner
- Track Lien waivers
- Record and file all Notices of Commencement
- Track permit review statuses within jurisdictions
- Track down and file subcontractor permits
- Compile approved documents for superintendents
- Other office tasks as needed, such as dropping off mail
Requirements:
- Strong understanding of Quickbooks is a must; experience with Procore, Bluebeam, and other construction related software is highly preferred
- 2 years of relevant experience in an accounting/admin role; previous construction industry experience highly preferred (combined relevant college coursework and experience is acceptable)
- Excellent organizational and communication skills, as well as the ability to work independently
- Willingness to occasionally work beyond the scope of the job description to help the team
- Knowledge of the construction process
- Proficiency in other computer programs such as Google and Microsoft suite
- Bilingual preferred but not required
Job Type: Full-time
Pay: $65,000.00 - $75,000.00 per year
