Title: Administrative Associate III

Location: Stanford, CA

Duration: 3 months

Rate: $32.00-$37.00/Hour

What You'll Do:
The temporary Administrative Associate will work closely with internal stakeholders to develop administrative processes that support the vision, strategy, and goals of the center. In this role, the Administrative Associate will provide essential support in calendar management by exercising good judgement and excellent communication skills to schedule meetings, prioritize commitments, and independently resolve conflicts when they arise. Other routine tasks include processing a variety of financial transactions (such as reimbursements, vendor payments, etc.); booking travel; drafting correspondence; formatting/copyediting papers, reports and other communications; and coordinating logistics for meetings and events.

Core duties will include (but are not limited to)

  • Act on behalf of the supervisors with regard to establishing priorities and identifying and resolving problems that are administrative in nature.
  • Oversee and perform duties associated with scheduling, organizing, and operating complex conferences, seminars, and events, including arranging with vendors for services, overseeing the production and distribution of materials, administering logistics, and managing event within budgets.
  • Compose and draft documents and correspondence for presentations, course handouts, grants, conferences, seminars, and reports; perform substantial editing and fact checking. Create, maintain, modify, and/or ensure accuracy of content in various unit documents, displays, reports, brochures, social media, and/or websites.
  • Plan and schedule calendar(s) with limited consultation, resolve calendaring conflicts, and arrange travel in compliance with unit, university, and sponsor policies.
  • Create complex reports and spreadsheets which may utilize specialized software and systems.
  • Oversee and/or process a variety of complex financial transactions; produce, monitor, and reconcile budget statements; research, identify, and resolve discrepancies. May assist with capital or special equipment requests and/or vendor selection.

Education & Experience:
High school diploma and four years of administrative experience (Bachelor's Degree preferred) or a combination of education and relevant experience.

Knowledge, Skills and Abilities:

  • Excellent communication skills (verbal and written) are a requirement.
  • Very strong interpersonal skills and a customer-service orientation.
  • Ability to coordinate and manage multiple projects with competing priorities, meet deadlines and project plans with short- and long-term end dates. Exceptional organizational skills and attention to detail. Demonstrated success in following through and completing projects.
  • Ability to take initiative and ownership of projects, while still being open to new and creative solutions.
  • Advanced computer skills with a working knowledge of applications such as Excel, Word, PowerPoint, Project Management Software.
  • Ability to routinely and independently exercise sound judgment in making decisions.
