Administrative Associate III - Youth Services Job at Reno County, KS
Job Purpose and Objectives
Perform secretarial functions, answer incoming telephone calls, greet and assist visitors. Maintain youth records and youth database, ensure youth file documentation is in compliance with state licensing requirements, and assist Office Manager when needed. Job Competencies
Answer and direct phone calls and greet and assist visitors. Clerical functions for administration (typing, copying, filing, scheduling meetings/appointments, process outgoing mail, transcribe daily incident reports). Scan, store and maintain youth records. Computer entry of youth records. Complete information requisitions for youth records. Coordinate insurance coverage information with health care providers to facilitate timely payment for youth medical expenses. Prepare and send correspondence to parent/guardians/professionals as directed. Maintain updated physical records of youth basic information and daily reports. Record and deposit payments received. Enter accounts payables for payment. Communicate and work as a team in a professional, respectful, positive and constructive manner. Follow safety and health rules while carrying out job duties. Follow rules concerning adequate and proper clothing and personal protective equipment. Report accidents and near misses promptly. Contribute to various safety activities and offer safety suggestions. Assist providers in collecting from state for youth medical expenses. Complete special projects in Word and Excel. Deal with fluctuating workload and maintain accuracy in work performed. Prepare new forms in Word and Excel. Request and receive records on time. Verifying placements. Solve issues with youth records in document imaging. Interpret youth records. Prepare monthly reports. Verify accuracy of documents in youth files. Protects and maintains any confidential information you have access to, whether oral, written, or electronic. Operates all job-related equipment, machinery, tools and other aids as required or needed. Position Requirements and Qualifications
Position Requirements - Must be 21 years of age. High school diploma or G.E.D. Experience in computers and office skills desired.
Skills / Knowledge / Abilities - Knowledge of word processing and spreadsheets. Knowledge of bookkeeping helpful. Proficient in typing, telephone skills and filing. Possess language and bookkeeping aptitude. Good interpersonal skills. Determination to learn and pay attention to details.
