ORGANIZATIONAL SUMMARY:
The Student Success division at the University of South Florida, is comprised of 60 departments, providing students with academic support, engagement opportunities, health & wellness services and enhancement of the educational experience.

The Office of the Registrar (URO) leads a hub of critical services for students, faculty, and staff, including student an academic record keeping, a conflict free academic schedule, registration, graduation, data reporting and state and federal compliance to support the University's educational programs. This position resides on the USF Sarasota-Manatee campus.

POSITION SUMMARY:
This position oversees all daily operations and processes concerning student academic records and services, ensuring that they are performed accurately, efficiently, with outstanding customer service, and in accordance with University regulation and policy. This position oversees the URO's role in academic section and space assignment management for Sarasota-Manatee. Guides faculty in the timely reporting of attendance, midterm and final grades. Oversees the processing and handling of student records, ensuring compliance with the Family Educational Rights and Privacy Act of 1974 (FERPA). Provides input on strategic planning, enrollment management, emergency preparedness, State and Federal compliance, core work enhancement, performance management, student record and data management and statistical analysis, presentation, reporting, and outcome assessment.

RESPONSIBILITIES:
Responsible for application and maintenance of URO functions as departmental lead at the Sarasota-Manatee campus. Oversees the URO business functions and services offered at Sarasota-Manatee, including Non-Degree and transient student processing; course management and registration; faculty attendance, midterm and final grading; release of enrollment certifications, official University transcripts, and replacement diplomas, and updates to students' permanent academic records. Provisioned to remove the Non-Degree application fees from Banner. Processes requests in accordance with university, state and federal policies and procedures. Serves as URO representative for the faculty and staff on-campus support. Shares general information on university policies and procedures through telephone, written and in person inquiries; participates in and manages the review of several email boxes for the Office of the Registrar, ensuring issues are appropriately escalated for timely, accurate resolution that provides maximum benefit to students when possible.

Plans and creates an advanced classroom assignment solution for the Tampa campus by utilizing the PSS and SIS class section information. Advising colleges on changes that need to be implemented for compliance, and coordinates process for St. Petersburg and Sarasota-Manatee campuses. Considers potential needs, capacity, utilization, proximity, and availability of classrooms to make optimal placements. Analyzes, evaluates and resolves course conflicts to provide a complete set of course classroom assignments to match the future semester course offerings. Manages the scheduling of all classroom space for academic courses, extra events, and final exams. Reviews final exam matrix and USF scheduling timetable. Monitors course meeting patterns and resolves conflicts. Identifies and resolves conflicts in SIS for each academic term. Investigates and verifies all requests for variance from approved meeting patterns that are submitted by Colleges/Departments for feasibility and legitimacy.

Establishes goals, prioritizes, plans and reviews the work of direct reports. Provides a high level of service through new staff onboarding and continuous development and training. Reduces costs and duplication of efforts where possible. Creates and promotes a friendly and customer care environment and recognizes staff for being quality service providers. Helps maintain the URO task calendar and wiki, and is responsible for identifying professional development and training opportunities for team. Contributes to URO Wiki to ensure office procedure & instructions remain updated and accessible to all URO personnel.

Reviews Fee Adjustments Requests, Late Registration Fee Waivers, and Repeat Course Surcharge Requests as a FAR Committee member, and rotates on as a URO and Sarasota-Manatee representative for the institution's Residency Committee. Manages ad hoc projects related to systems upgrades and changes.

Responsible for ensuring confidentiality of student data. Performs all work with confidential and sensitive student information under observance FERPA, and other federal and State guidelines. Informs the individuals working with confidential student information about legal restrictions, privileges, and ethical considerations surrounding its use.

Supports the mission of Student Success, Enrollment Planning and Management, and the URO with other duties as assigned. Regularly updates University Registrar on status of projects, highlighting important issues and areas concern. Serves on institutional committees at the discretion of University Registrar. Serve as essential personnel for Continuity of Operations Planning for the continuation of essential functions during a disaster or emergency. May serve in the absence of the University Registrar, to ensure the mission and goals of the URO are met.

POSITION QUALIFICATIONS:
MINIMUM:
This position requires a Bachelor's degree from a regionally accredited institution with a minimum of four years related exempt experience, including two years of supervisory experience in a high volume, customer service oriented academic institution.
