Job Purpose:
The primary duty of the Executive Assistant is to provide comprehensive support to the CEO, helping them stay focused on projects by resolving operational and administrative issues before they arise. You will also provide fractional support to the Partner (a proposed 80/20 support split), and work directly alongside the Operations Manager for project support and to turn ideas into successful frameworks.
As the right hand to the CEO, you will act as a trusted advisor and gatekeeper, communicating the importance and priority of tasks, managing incoming calls and emails, and solving problems with a solution-focused approach. You will be responsible for coordinating meetings, travel, and appointments, managing and prioritizing tasks and responsibilities, and ensuring smooth communication and coordination across a small-but-mighty cross-functional team.

Responsibilities:
- Organize, coordinate, and streamline communications, including inbox management
- Ensure the protection and positive representation of stakeholders' reputations when interacting with internal and external parties of various backgrounds
- Proactively manage stakeholders' task list, monitoring progress to ensure that tasks are completed according to priority and time-sensitivity and completing tasks on stakeholder behalf as appropriate; act as a liaison and communicate status updates to colleagues, acting as needed to ensure timely completion of tasks
- Assist in preparing and proofreading proposals, correspondence, presentations, and company documents and templates
- Identify and help the Executive Chair to capitalize on opportunities that will increase her leadership and brand reputation across various domains
- Streamline and optimize administrative and support processes, systems, and workflows, including identifying and implementing industry best practices
- Partner with Operations Manager to plan and execute special projects, programs, meetings, events, workshops, and seminars
- Compile documents, messages, and materials for meetings and projects
- Keep organizational materials and internal files, CEO pipeline and contact lists, and CRM/alias lists up to date
- Proactively own and maintain calendar and travel for CEO and Partner, maintaining an understanding of shifting priorities, while coordinating complex travel arrangements and proactively anticipate and address changes and issues as they occur in real-time
- Submit and maintain expense and travel reports for CEO and Partner
- Work with vendors and clients to ensure billing occurs in a timely manner
- Manage staff meetings and commitments as it relates to the CEO
Background & Experience:
- 3 to 6 years supporting senior executives in an Executive Assistant or similar role required
- Experience onboarding with senior staff new to having an Executive Assistant is highly preferred but not required
- High school education or equivalent; some college-level education highly preferred
- Experience with international markets and global environments highly preferred
- Experience in finance, legal, professional services industries, or in family office/HNW environments preferred, but not required
Required Skills & Abilities:
- Proven mastery of MS Office applications, and comfortable with using or learning collaboration tools and technology
- Ability to approach challenges and situations with a positive attitude
- Adapts well to changing situations and handles conflicting demands with ease
- Exceptional ability to multi-task, prioritize, and meet deadlines with little direction
- A desire to seek out creative ways to create systems, checklists, and approaches to efficiency
- Strong interpersonal awareness and eloquent communication skills, able to interact with all levels of internal and external contacts with diplomacy and professionalism
- Sound analytical aptitude with high emotional intelligence
- Enthusiastic and willing to learn and advance skills and able to assume new responsibilities in line with growing skillset and competencies
- Exercises discretion and independent judgment with respect to matters of significance to Avion, including but not limited to, the functional areas of networking, marketing, research, and finance

Physical Requirements and Working Conditions:
- Flexible hybrid work environment in our office in Shaker Heights, OH or the surrounding Greater Cleveland area for team collaboration events.
- Up to 10% travel when necessary to accompany the executive team.
- Sitting for extended periods of time – at desks and conference tables.
- Looking at computer screens and talking on the phone for extended periods.
- Frequent use of keyboard and mouse requiring manual dexterity.
