Your Role
As the Human Resources Representative, you will be responsible for gathering all required documentation, maintaining accurate records, and processing all workflows surrounding an employee from onboarding through termination. This position provides administrative support to the HR Manager and assistance to agency staff with general HR-related activities and queries.
The HR Representative role requires a high level of customer service skills and a dynamic personality. In conducting new employee orientation and assisting with employee engagement/recognition initiatives, you will help progress the agency's inclusive and supportive culture. - Coordinate onboarding of new employees with recruiter and hiring manager, ensuring that proper documentation is provided, paperwork is completed accurately, and all required pre-employment processes are completed, such as background checks, reference checks, and physicals.
- Conduct new employee orientation, create personnel files, and enter employee data in HRIS system.
- Manage and maintain processing of all personnel changes, including but not limited to status, pay/position, terminations, and notifications/correspondence to staff.
- Maintain and organize personnel records with all required documentation to ensure compliance with organizational, funding source, state, and federal guidelines.
- Create, maintain and distribute departmental and organizational reports as needed.
- Maintain files for agency interns and temporary staff. Compile required documentation and conduct agency orientation. Coordinate initial Pace certification process with IT/Asset Manager.
- Act as liaison with Pace for maintaining DOT files for certified staff per specifications. Coordinate notification and processing of all recertification and drug testing as needed. Process required annual background checks for drivers. Upload required documentation to SharePoint.
- Maintain Pace tracking log; complete annual D&A testing report. Provide files and documentation for Pace audits.
- Bachelor's degree strongly preferred or equivalent combination of education and related work experience.
- Two years of administrative experience in a business or human services agency environment with experience functioning in human resources.
- Highly organized with demonstrated ability to multi-task and extremely detail-oriented.
- Excellent communication skills, both oral and written.
- Valid driver’s license and documentation of current auto insurance, with an acceptable motor vehicle report.
- Possess the skill and ability to utilize all applicable technology and computer programs related to the position, including proficiency in Microsoft Office Suite and Outlook.
