The Office of Communications and Marketing (OCM) publicizes agency activities through TV, radio, print and social media, responds to reporter’s inquiries and creates public information campaigns about agency initiatives. OCM designs and prints posters, brochures, booklets, business cards and other materials and stores HRA records. OCM is also responsible for the handling of HRA’s main mailrooms.

The Office of Communications and Marketing (OCM) is seeking one (1) Clerical Associate III to function as a Mailroom Sorting Clerk.

The Mailroom Sorting Clerk will:

  • Perform mail sorting and processing activities required for the receipt and delivery of large volumes
of inter/intra-office and U.S. mail. This includes written communications with staff; require notifications,
and other documentation for clients and outside offices as necessary for conducting agency business.

  • Prepare USPS and interoffice mail volume reports and postage spent reports.

  • Review reports prepared by other mailroom staff at the direction of the Director of Mailroom
Operations.

  • At the direction or in the absence of the Director of Mailroom Operations, prepare staffing schedules
to always ensure adequate coverage.

  • Prepare inter-office mail for pick-up by location messengers.

  • Process/sort outgoing U.S. Mail such as First Class, Certified, Registered, and Carrier services.
Affix metered postage using postal machines, fill out delivery slips and pack materials to limit chance
of damage to inside materials.

  • Log incoming and outgoing mail pieces.

  • Respond to mail-related inquiries from staff.

  • Arrange for and monitors special deliveries.

  • Deliver urgent mail or other parcels to the post office and other city agencies, as needed.

  • Pick up mail and parcels from 4 WTC mail center multiple times daily, as needed.

  • At the direction and oversight of the Director of Mailroom Operations, train staff on new mail
related activities / processes.

  • Conduct staff meetings on new or changed USPS, UPS, and FedEx mail/package delivery
procedures.

  • Act as liaison with USPS.

Minimum Qual Requirements

Qualification Requirements
A four-year high school diploma or its educational equivalent approved by a State's department of education or a recognized accrediting organization and one year of satisfactory clerical experience.
Skills Requirement
Keyboard familiarity with the ability to type at a minimum of 100 key strokes (20 words) per minute.

New York City residency is generally required within 90 days of appointment.
