Minimum Qualifications
  • Bachelor’s Degree in Education, Arts Administration or Hospitality (or related degree); or a minimum of 3 years of professional work experience in related field
  • Must possess a valid driver’s license & be able to pass the university 12-passenger van safety certification

Essential Job Functions
This position provides critical support for two areas of programming by the Schaefer Center for the Performing Arts, including Arts Education and Artist Relations. Responsibilities within the arts education area are focused on the APPlause! K-12 Performing Arts Series, which
shares world-class music, dance, film and theatre programming with approximately 8,000 students in the public, private, and home-school network across our region, via in-person
and virtual events. Other educational activities include planning and execution of residency activities by performing artists who appear as part of the various series presented by the Schaefer Center (including the Schaefer Center Presents, which features performing artists throughout the academic year, and An Appalachian Summer Festival, presented annually in late June and July). Responsibilities within the Artist Relations area focus on management of the Rosen-Schaffel Competition for Young and Emerging Artists, presented annually as part of An Appalachian Summer Festival. Additional duties include support and assistance with artist relations tasks such as travel and lodging, hospitality, and other logistics associated with artist visits to our campus throughout the year, as well as general administrative support for the artist relations area. In fulfilling these functions, the person in this position will work closely with both the Director of Arts Education and Outreach and the Director of Artist Relations.

Specific position duties are outlined as follows.

Education & Outreach Functions:

APPlause! Series Coordination
Manage administrative aspects of the APPlause! K-12 Performing Arts Series, to include:
Program Planning
  • Assist with educator’s series workshops
  • Assist in the development of an advisory board for the APPlause! Series
  • Assist in vetting potential performances for the APPlause! K-12 Performing Arts Series
APPlause! Series Registration
  • Establish reservation forms for large and small groups
  • Manage all audience reservation confirmations for the APPlause! Series
  • Develop and manage an effective reservations and communication system for the Virtual APPlause! Series programs
  • Record large group reservations of APPlause! Series through a google form
  • Record small group reservations of APPlause! Series with box office staff
Day of Show Logistics and Communication
  • Secure volunteer student ushers for each performance
  • Communicate expected vehicle numbers with Parking and Traffic ahead of each performance
  • Assist with managing logistics of school groups who plan to stay on campus following APPlause! Series performances
  • Initiate memos for day of performance logistics to audience members
Administrative and event follow up duties
  • Manage distribution of APPlause! Series brochure (and other marketing materials)
  • Advance APPlause! Series hospitality riders
  • Assist in developing educational resources and study guides in conjunction with APPlause! Series featured performances
  • Create APPlause! Series study guides in collaboration with Director of Arts Education and Outreach and Director of Creative Services
  • Create APPlause! Series performance seating charts
  • Creation and same day distribution of post-performance surveys to adults in attendance at APPlause! Series performances
  • Collect post show information and create invoices
  • Process payments of APPlause! Series invoices

Residency Support
Work with Dir. of Education & Outreach and Dir. of Artist Relations to advance visiting artist residencies with campus and community partners
  • Assist with creating and communicating residency schedules
  • Assist with communication with campus groups and/or artist representatives
  • Assist with transportation of and hospitality to visiting artists as they go to and from residency activities

Artist Relations Functions:

Rosen-Schaffel Competition Administration
Manage all aspects of the Competition, to include:
  • Serve as primary contact for the competition
  • Participate in strategic planning to further the development of the competition
  • Create and oversee competition timeline & application process
  • Work with Marketing Team to create marketing plan and materials
  • Oversee announcement and distribution of marketing materials, as well as make personal contact with institutions
  • Initiate communication with competition jurors/judges and assist with contracting
  • Oversee communication with competition applicants and contestants
  • Manage day of operations for the competition and communicate details with other staff

Artist Hospitality Assistant -
  • Work with Director to advance artist hospitality details for all series performances
  • Work with Director to oversee hospitality budget
  • Create and maintain hospitality-related task lists and schedules
  • Serve as primary contact for placing catering orders and managing day of operations
  • Work with Director to create shopping lists and purchase hospitality for artists
  • Assist Director in management and oversight of student employee tasks
  • Serve as runner for artist transportation and hospitality-related tasks
  • Attend performances, residency activities and special events, as needed

Artist Relations Administrative Tasks -
  • Assist with booking research for all performing arts series presented by The Schaefer Center
  • Assist with YoMart & Total Contract Manager tasks by helping to monitor contract and payment progress, to include issuing and redlining contracts and entering contract payments
  • Assist with collecting vendor packets and other necessary forms for contracting
  • Assist with management of Artist Relations budget planning and data entry
  • Assist with record management of contract documents and creating production notes for advancing events
  • Assist in coordinating SCP Advisory Committee meetings and maintaining meeting records
  • Work closely with Director to support and oversee student staffing

Preferred Qualifications
  • Must have exemplary customary service and hospitality skills; experience in educational programming a plus
  • Interesting fast-paced environment requires mature, self-motivated and dependable individual with excellent communication and interpersonal skills
  • Strong administrative and organizational skills
  • Strong attention to detail
  • Knowledge of MAC computers, Google applications, Microsoft Office, Adobe (Acrobat, InDesign)
