We are experiencing rapid growth in our Utah region and are searching for a candidate to join our Salt Lake City department as a Project Coordinator/Administrative Service Assistant. Great office position to get your foot in the door for a career with a well respected company in the HVAC industry. On-the-job training will be provided. This is an office position in our Salt Lake City office.
This position will interface with vendors, customers, sales, operations, accounting, and management on a daily basis. This position requires strong verbal/writing skills and the ability to take responsibility for a multitude of tasks and follow through on assignments with minimal supervision.
Major responsibilities include but are not limited to:
- General Administrative duties
- Entering job quotes and proposals for customers
- Assist customers over the phone and by email
- Answer and direct phone calls
- Entering and placing job orders
- Review, generate and send purchase orders
- Data entry and filing
- Providing exceptional customer service to our sales force, operations personnel, and customers
- Respond effectively to changing workloads and priorities
- Work with accounting department and follow up on outstanding invoices and past due accounts
- Assist with Accounts Receivable
- Send email correspondence on behalf of others
- Obtain quotes for materials and sub-contractors for projects of various size and scope
- Assist in scheduling of projects with the client and project team
- Assist in providing submittals to clients
- Assist in purchasing of materials and equipment for projects
- Develop change order, purchase order and RFI logs on projects
- Track labor hours and material costs on projects
- Develop client relationships
- Assist in other areas per direction of the Division Manager
- Develop and update administrative systems for maximum efficiency
- Copy, print, scan or create documents on behalf of other colleagues
Qualifications
- Must be available to work during normal business hours. M-F, 8am-5pm
- Ability to work well with all levels of management, support staff, and all other employees
- Ability to build and maintain positive relationships, both internally and externally, while maintaining a customer service orientation
- Experience with data entry and input into web-based portals
- Proven success in a fast-paced environment
- Exhibits good discretion and judgement
- Displays patience
- Flexible business mind with a focus on developing creative solutions
- Attention to detail
- Proven admin or assistant experience
- Exceptional time management skills with the ability to manage high priority times and multitask
- Proficient in Microsoft office, including SharePoint, Word, Excel, Teams and Outlook
- Strong organizational skills
- Ability to work strategically and collaboratively across departments
- High accuracy typing skills with a reasonable speed
Preferred Experience
- Commercial HVAC experience and understanding
We offer a VERY competitive salary and benefits package. Salary range for this full-time position is set at $40,000 -$50,000 depending on skills, knowledge and experience.
