School Age Program Manager Job at Williamsburg Indoor Sports Complex
SCHOOL AGE PROGRAM MANAGER JOB SUMMARY
Our licensed Kids Club Before & After School Program that has been operating since 2003 providing excitement, fun and learning for school age grades K-6 . Students have access to a mini-gym, indoor and outdoor playgrounds, turf, and gymnastics room, which enhances gross motor skills and creates a healthy attitude toward physical fitness. The School Age Program Manager is responsible for the successful operation of the Before/After school program which includes hiring, training, managing and overseeing the before and after school staff to ensure a quality program. This position is also responsible for out of school day camps and school age summer camp.
Overall Program Duties and Responsibilities
- Works in conjunction with the Kids Club Director
- Establishes a happy and fun environment focused on quality, safety, and education by ensuring proper implementation of curriculum and maintaining the integrity of the program.
- Manages the center to comply with all Virginia Licensing Standards and center policies and procedures.
Communication
- Communicates clearly and accurately with parents and staff in a timely fashion.
- Handles personnel matters, documents issues as needed and communicates with WISC Executive Team and Licensing Inspector.
- Effectively resolves problems related to the operations of the center in a timely manner.
- Promotes team building activities with Kids Club staff.
- Reports any facility, janitorial or capital improvement needs to the WISC Kids Club Director.
- Serves as the lead customer service contact for families including: answering questions, parent communication, emails, phone calls and texts.
Administrative
- Analyzes financial statements, enrollment information, personnel reports, and other information to control costs and ensure the financial success of the center as deemed by WISC Kids Club Director.
- Recruits, hires and develops before and after school staff.
- Plans work schedules, maintains substitute back up list, supervises staff, oversees lesson planning and evaluates staff performance.
- Submits Payroll on a semi-monthly basis
- Adheres to the department’s budget
- Submits Payment Requests to Kids Club Director for supplies, field trips, etc.
- Organize and hold weekly coach/teacher meetings
- Attends weekly meetings: Kids Club Department Meeting and WISC Staff Meeting
- Prepares rosters, charts, schedules, sign-in sheets, tracking charts and other documents pertaining to the center department
- Implements and manages Summer Camp—Field Trips, schedule, etc.
- Create bus route schedules for drop off and pick up to schools serviced by the program
- Organizes, staffs and runs Out of School Day Camps
Active/Operational
- Actively participates in community events to promote the Center, build new enrollments and retain current families.
- Attends Virginia State Licensing meetings
- Ensures the center provides a safe and healthy environment by frequent walk-throughs and scheduled cleanings.
- Oversee bus maintenance—Gas, Repairs, Inspections, Oil Changes, Cleanings
- Responsible for ensuring daily upkeep and cleanliness of the center department
- Provides department tours
- Serves as a back-up coach/teacher to the center
Virginia Licensing
- Remains up-to-date on all Virginia Standards of Licensing of Child Day Centers
- Ensures appropriate staff-child ratios and minimum state staffing qualifications are met.
- Accurately maintains required records on staff and children.
- Works with Licensing Inspector during inspections and makes necessary corrections, as needed.
REQUIRED KNOWLEDGE, SKILLS AND ABILITIES
- Must be highly motivated
- Excellent communication and interpersonal skills
- Excellent management and leadership skills
- Good organizational skills
- An understanding of childcare operations
- Must be able to work days, evenings, and weekends as necessary
- Must have a desire to work with children
REQUIRED EDUCATION, CERTIFICATIONS AND EXPERIENCE
- 18 years of age or older
- High school diploma or equivalent required
- Must have childcare experience
- College degree preferred
- CPR, First Aid, and AED certifications (must be obtained within 60 days of hire)
Ability to commute/relocate to Williamsburg, VA 23188. Reliably commute or planning to relocate before starting work (Required).

Pay: $20.00 - $22.00 per hour
